Your privacy and confidential data
We try to be as transparent and conservative in our use of personal data as possible. Not just to comply with the requirements of the law, but also because it is the right thing to do.
Here is a quick overview of the data we handle as a part of running Workz as well as our platforms and policies .
Communication and marketing
We keep track of the conversations we have with potential customers, partners and collaborators. We do this to minimise the risk of us contacting people more than once about the same topic, and to make sure we do not contact people who would rather that we did not.
There are several cases where we need to collect and store this kind of personal information:
- If you do business with Workz (as a partner, supplier or customer) we store your contact information after the project is done as required for accounting, and to be able to contact you later on matters relating to the project.
- If you are certified in one of our simulations, or registered as a facilitator on our online platform we store your name and contact details for as long as you want to remain certified.
- If you apply for at job with us we store personal data for the duration of the recruitment process. Once the position has been filled we delete all applications data shared with us, except name and contact details.
- If you sign up to one of our events we store your name and contact details.
- If you sign up to receive our newsletter Friends of Workz or other marketing communication from us.
Personal data handling
- We use Hubspot (CRM) and Microsoft 365 as platforms to process contact information, event signups and participation, automated email marketing and tracking of online communications.
- We use Timely (PSA), E-conomic (accounting) to record economic transactions.
- For facilitators signed up to our online games we store login information as well as usage data. For end-users playing our digital games we only store aggregated and anonymous usage data. This is done on our own software platform that operates on AWS infrastructure.
- All personal data is stored on servers located in the EU, under GDPR compliant management and with industry standard security in place (personal logins, strong password and SSO or MFA).
- No personal data is shared with third parties inside or outside the EU including for research purposes.
Unsubscribe or request to be forgotten
- To unsubscribe from our newsletters please use the unsubscribe link at the bottom of the email.
- To change the consent to cookies please click the cookie consent banner in the bottom left corner of the website.
- To find out what we know about you, ask us to delete any non-purchasing related data, or if you have any other questions, please contact our data and privacy officer.
Automated email marketing
We do automated marketing through our mailing lists; Friends of Workz and Partner News. It is our way to keep in touch with people who are interested in Workz what we do and who we are. As a member of these lists you will receive no more than one or two mails a month.
As a general rule, we do not contact or target people as individuals, but rather as representatives of their companies or organisations.
Analytics, cookies and tracking
We track and analyse the traffic on this website using analytics software. This helps us understand what content is most popular and where the readers come from.
We do this to learn how we can best help our existing customers and partners, and how to find new ones.
We also use cookies to track when users are logged into our system and to track the effectiveness of our email marketing.
Security policies and efforts
We are aware of the sensitive nature of the data our clients share with us.
Therefore, we take care to keep our platforms secure, our setup robust and our procedures tight. We do this while still being able to work efficiently and flexibly with our collaborators.
- We use two-factor authentication for our major platforms.
- We have both on- and offsite backup of our data.
- We have an open and ongoing internal conversation about secure behaviour.
